Overview

The Coordinator, Bilingual (Spanish) is responsible for general EOF office management, creating and maintaining electronic record-keeping processes, intake processing, serving as a point of contact for Spanish-speaking students, parents/families, and community, and providing a diverse range of operational support.

Responsibilities

Office Coordination

  • Coordinate the day-to-day operations of the EOF office.
  • Oversee and monitor the Communication Management system application (Colleague) or other related systems/technologies. Utilize the application to generate automated emails, letters, and text messaging. Support the program in developing, composing and improving communication methods.
  • Complete various tasks associated with EOF event planning, including but not limited to identifying committees, contacting vendors, reserving space on and off campus, and assisting in the development and distribution of promotional material.
  • Organize and maintain EOF Program virtual spaces including webpage, CANVAS shell, online newsletters, and social media accounts.
  • Maintain an electronic database of student engagement data that indicates attendance and student feedback at all planned EOF events on and off campus.
  • Assess and review the department processes regularly. Develop and implement new or revised processes for the department to improve efficiencies, such as online or electronic workflows and automation.

 

Intake Processing

  • Serve as point of contact for Spanish-speaking students and parents/families.
  • Assist with recruitment and admissions events and initiatives for areas with high Spanish-speaking populations including high school visits, information sessions, Admitted Student Days, etc.
  • Respond to student and community inquiries for information about the EOF Program and support with the application completion process. Explain program requirements, benefits, and available resources to students and their families, ensuring a clear understanding of EOF program objectives. 
  • Collaborate/assist the EOF Recruiter, Student Success Coaches, Financial Aid officers, and other relevant departments to ensure accurate and timely processing of enrollment-related paperwork.
  • Maintain up-to-date electronic records of student interactions and program enrollment status.

 

Program Support

  • Assist in the administrative responsibility for budget development and management.
  • Assist the EOF Director with roster management functions.
  • Assist in the advisement of the EOF Student Alliance and Chi Alpha Epsilon Honor Society chapter.
  • Other duties as assigned.

Qualifications

Education:

  • Bachelor’s degree.

 

Experience: 

  •  College recruitment experience preferred.

 

Knowledge/Skills/Abilities:

  •  Fluency in Spanish language.
  • Ability to develop positive relationships with a diverse student population.
  • Ability to work in a multi-project, fast-paced environment and meet concurrent deadlines.
  • Ability to work collaboratively and to address problems through teamwork.
  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate with the ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systems
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.
  • Ability to travel within the county and state.

 

Preferred Qualifications & Special Considerations:

  • Knowledge of Monmouth County and its communities. 
  • Weekend and evening work and flexible hours/schedules may be required. Travel within Monmouth County may be required.
