Overview

The Associate assists in daily operations in Conference Services, including evening or weekend conferences/events, building and room coverage and preparation, and response to client inquiries as directed. The position provides assistance in organizing and preparing documents and other tasks assigned by the supervisor.

Responsibilities

Operational Support

  • Assist the supervisor in daily operations.
  • Provide daily inspection of all conferences and events set up and ensure all requested services are in place. Monitor the status of events in progress to ensure smooth operation and lack of conflicts.
  • Assist in the coordination of selected conferences/events; inform client of event services, arrange with client for room set up, food and technology services.
  • Respond to daily issues including room conflicts, client needs, technology requirements, and building maintenance issues.
  • Notify the Manager of any issues that could affect an event, including but not limited to building, cleaning, or vendor issues.

 

Documentation

  • Assist the supervisor with invoice preparation, payment collection, and accounting for all receipts.
  • Maintain invoicing information, track payment and perform follow-up for non-payment.
  • Prepare all client billing and maintain billing data.
  • Generate and maintain monthly group usage and revenue reports.

 

General Conference/Event Support

  • Provide back-up support in other departments for conferences and events.
  • Assist with staging setup/configuration as needed.
  • Utilize, troubleshoot PowerPoint, Keynote, etc.
  • Troubleshoot issues quickly.
  • Perform other related duties as assigned.

Qualifications

Education:

  • Associate’s Degree; or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

 

Experience:

  • Two years of related experience.
  • Working experience in a busy, customer service-oriented position desirable.
  • Experience in educational environment preferred.

 

Knowledge/Skills/Abilities:

  • Outstanding communications skills.
  • Strong interpersonal and organizational skills with the ability to develop effective working relationships with internal and external clients.
  • Computer literacy skills at an intermediate level with the demonstrated ability to utilize and apply Microsoft Office Outlook, Word, Excel, and PowerPoint as well as specialized software programs and computer applications.
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.

 

Preferred Qualifications & Special Considerations: 

  • Knowledge of Monmouth County and its communities. 
  • Must be able to stand for long periods of time. Must be able to bend, reach, stoop and crouch, sometimes in a secured and confined space.  Must be able to work weekends and nights depending upon schedule. Must be able to push, pull and lift a minimum of 50 lbs. Must be able to work a flexible schedule.
