Overview

The Associate Director is responsible for ensuring the smooth daily operations of the Center including staff supervision, delivery of programs, and coordination of partner services, management of the facility and Nutrition Hub, and maintenance of data for reporting and assessment purposes. The incumbent supports the Director in implementing all aspects of the Center’s Operational Plan, processing financial transactions, and collaborating with the Marketing Dept on communications and marketing initiatives.

Responsibilities

Management of Wellness Center Operations

  • Manage the daily operations of the Wellness Center and supervision of staff and student interns including on-boarding and training in all aspects of center operations, partner collaborations and wellness/mental health services. Evaluate the staff in accordance with the college’s performance management system.
  • Manage the coordination and delivery of a comprehensive range of programs that address the 8 Dimensions of Wellness. Ensure a welcoming and hospitable environment for the Center attendees, a high level of customer service and participant satisfaction, and efficient use of the facility. Maintain positive collaborative and collegial relationships with internal program co-sponsors and supporting departments.
  • Coordinate with the Student Services department to provide emergency coverage and support, ensuring seamless intervention in critical situations.
  • Maintain positive relationships with external partner organizations. Coordinate all details of the referral and delivery of partner on-site and remote programs and services. Ensure the center staff is informed of these operations and that the facility is set up as needed. Work with the Center Director to create a streamlined intake and referral process for people in need of social work services. Assist, as needed, with the initial screening of Center attendees to ensure they are appropriately directed to the needed services.
  • Manage and coordinate all aspects of special events and meetings, ex: COPE sessions, meetings with Advisory boards, county organizations, etc.
  • Support the Director with the implementation of the Center’s operational plan, grants, partnerships, programs, services, activities, and processes for the Wellness Center as requested.
  • Oversee the Nutrition Hub: Implement operational plans to ensure timely and sufficient availability of nutritional goods, proper food storage, promotion of healthy eating habits and stigma-free guidelines for the equitable and sustainable distribution of the food. Be the point person for the Regional Sites to ensure the delivery of Nutrition Hub orders and services.
  • Be responsible for the implementation and maintenance of a timely and accurate record-keeping and data collection system, including data on the usage of services, attendance at programs, number of programs, etc. Prepare reports as requested for reporting and assessment purposes.
  • Ensure proper maintenance and safety of the facility.

 

Partnerships

  • Assist the Director in the development and maintenance of the Center’s internal and external partnerships. Provide administrative support in securing documentation and service agreements such as MOUs, W-9’s, COIs, and site licenses, etc. Inform partners of any needed actions, i.e.: renewals, etc. and maintain a file of all finalized documents.
  • Participate in partner meetings as requested and manage all administrative follow-up and implementation.
  • Participate in internal collaborative initiatives that provide resources for basic needs i.e. the emergency fund.
  • Maintain a database of pertinent partner information and on-site/remote services and prepare reports as requested.

 

Budgeting Support

  • Prepare documentation for preparation and administration of the Center’s budget. Process requisitions, track expenses, prepare reports, and report any irregularities as they may occur.
  • Assist the Director with managing grant budgets, activities and reporting and ensure compliance with terms and conditions of funding agencies.
  • Serve as the Center’s liaison with the Finance Dept and internal and external partners regarding budget issues.

 

Social Media and Marketing 

  • In conjunction with the Marketing Dept, oversee the development and implementation of a robust, multi-faceted marketing and public relations plan for all the Center’s constituents including students, the college community and the broader external community.
  • Oversee the Center website and social media to ensure appropriate and timely information.
  • As requested, participate in recruitment and publicity activities i.e. Open House and other events to showcase the Center.
  • Periodically assess the effectiveness of the Center’s marketing and adjust the plan accordingly.
  • Assist the Director in developing presentation materials using PowerPoint or other appropriate applications.

Qualifications

Education: 

  • Bachelor’s degree required in counseling, psychology, public health, social work, or related field or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

 

Experience: 

  • Three years of related experience with a proven ability to work effectively and develop positive relationships with students, faculty, administrators, staff, community members, and community partners and organizations of varying ages and different backgrounds.
  • At least two years of related experience in an educational environment preferred.

 

Knowledge/Skills/Abilities 

  • Ability to work in multi-project, fast-paced environment and meet concurrent deadlines.
  • Well organized with great time management skills.
  • Ability to work collaboratively and to address problems through teamwork.
  • Impeccable verbal, written, communication, interpersonal and organizational skills.
  • Computer literate with the ability to utilize Microsoft Office at an expert level and the ability to learn and utilize specialized programs essential to the department.
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.
  • Ability to work a flexible schedule (evenings/weekends) and travel locally.

 

Preferred Qualifications & Special Considerations 

  • Knowledge of Monmouth County and its communities.
  • Some night and weekend hours may be needed and with some local travel. Ability to lift, push, and pull up to 40lbs and assist with minor furniture moves and event set-up.
