Overview

The Program Coordinator position requires experience in coordination, organization, and assistance across multiple film and media projects. Background in working closely with directors, managing production logistics, and developing positive relationships with various stakeholders is essential for this role supporting the day-to-day operations of the Academy's educational programs and ensuring their successful implementation.

Responsibilities

Program Administration

  • Work closely with the executive director in day-to-day operations.
  • Schedule classes, workshops, and special events.
  • Manage program logistics, including facility usage, equipment, and materials.
  • Maintain program calendars and coordinate with instructors and students.

 

Student Services

  • Serve as primary contact for student inquiries about programs.
  • Assist with student registration and enrollment processes.
  • Collect and maintain student records and progress reports.
  • Support students in accessing resources and resolving issues.

 

Instructor and Curriculum Support

  • Coordinate with instructors regarding course materials and needs.
  • Assist in the development and refinement of curriculum.
  • Collect and organize teaching materials.
  • Help procure instructors for courses as needed.

 

Documentation and Reporting

  • Maintain and update all program-related files and documentation.
  • Take detailed notes during meetings and distribute as appropriate.
  • Prepare reports on program activities, enrollment, and outcomes.
  • Establish and maintain organized filing systems.

 

Maintain current and accurate information on the website and in marketing materials.

 

Qualifications

Minimum Education & Experience Requirements:

  • Associate degree and two years of related experience, or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

 

Knowledge/Skills/Abilities Requirements

  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate with ability to utilize Microsoft Office at an intermediate level and the ability to learn and utilize specific higher education programs and systems.
  • Ability to learn and apply office practices, procedures, policies, and regulations that are essential to the position.
  • Ability to travel within the county and state.

 

Preferred Qualifications & Special Considerations: 

  • Knowledge of Monmouth County and its communities. 
  • Must be able to travel locally.
